Multiple participants, one shared decision. From 2 to several dozen users connected simultaneously — each proposes, votes, counter-proposes, signs or refuses from their own browser. The final document includes each signatory's stamp, a timestamped probative audit log, and is automatically distributed to all.

How does it work?

A complete flow in 6 steps — from session creation to the final signed document.

1

The manager creates the session

From their group, the manager launches a session and configures: document type, legal template (business, association, union, co-owners), proposal duration and signature deadline. They distribute the session identifier to participants.

2

Participants join

Each participant joins the session from their browser with the provided identifier. Once the manager starts the session, no one else can join — latecomers are blocked.

3

Proposals, votes, counter-proposals

During the allotted time, each participant drafts their clauses. The first clause (FIFO order) goes to a vote. Participants accept, reject or submit a counter-proposal. Only one counter-proposal at a time — negotiation stays orderly. Each action is timestamped in the audit log.

4

Session closure

The proposal timer expires — pending votes continue. When the manager closes the session, no further votes are possible. The manager enters a review phase: they reorder adopted clauses by drag and drop.

5

Signature phase

After closure, each participant has the configured deadline (24h, 48h, 7 or 15 days) to sign the document (name, title, location, stamp) or refuse to sign. A countdown displays in real time. The manager tracks progress: signed, refused, pending.

6

PDF generated with audit annex

Once all responses are received (or the deadline expires), the manager validates the order and generates the PDF. The document includes numbered clauses, signatures with stamps, and a complete probative audit annex: timeline of every event, voter identity, vote results, signatures and refusals. The PDF is automatically distributed to each participant's file space.

Examples of outcomes

The Digital Synapse Exchange Negotiation module produces a document signed by all parties — contract, charter, minutes, agreement, protocol… Here are some examples of what can be negotiated and formalized, without this list being exhaustive.

Ethics charter or internal regulations
Amendments to bylaws (association, cooperative, worker co-op)
Specifications co-drafted by client and provider
Mediation protocol and amicable agreement
Budget allocation between departments or services
Assignment of roles and responsibilities within a team
Selection of a provider / outcome of a collective tender
Arbitration between strategic options (roadmap, priorities)
Jury deliberation (competition, award, selection)
Amicable separation agreement (dissolution of partnership, co-tenancy)
Programme or manifesto of a collective or electoral list
Co-parenting plan or formalized family agreement
Cooperation agreement between associations or organizations
Research protocol validated collectively

4 legal templates adapted to your context

The manager chooses the template when launching the session. The preamble, terminology and legal framework of the final document adapt automatically.

🏢

Business

Commercial contracts, partnership agreements, specifications. General obligations law preamble, mutual consent of contracting parties.

🤝

Association

Charters, bylaws, deliberations. Framework of the law on non-profit associations. Resolutions voted by members.

Union / Collective

Collective agreements, protocols, motions. Principles of fair negotiation and good faith. Provisions agreed by representatives.

🏠

Co-owners

General meeting minutes, works resolutions. Framework of co-ownership law. Resolutions adopted by co-owners.

Negotiation at the heart of a complete ecosystem

Digital Synapse Exchange is not a standalone tool — it is a multi-task laboratory. The negotiation session fits into an organized flow: preparation groups upstream, real-time chat and files during the session, gallery and follow-up groups downstream.

feeds generates live publishes Negotiation Real-time session Votes · FIFO · Signed PDF Upstream groups Preparation · Dossiers Prior consultation Downstream groups Follow-up · Implementation Post-session review Chat Live discussion During the session Files Shared documents Supporting materials Gallery Resolutions · Photos Videos · Speeches — before — — after — — during — — after —

The manager can create as many groups as needed around the session — each group has its own chat, files and discussions. The architecture is open: each collective organizes its own ecosystem.

Built for multiple simultaneous participants

Each user sees in real time what the others are doing — no reload, no delay.

🔄

Instant synchronization

As soon as a participant proposes a clause or votes, all others see the update immediately via Socket.IO — just like being in a physical room.

👥

Distinct roles

The manager facilitates — they do not vote. Participants propose, vote and sign. Separation of powers guaranteed server-side.

📊

Live response counter

The manager sees in real time how many participants have signed or refused. The PDF is only generated once all responses are received or the deadline has expired.

🏠

Any device

Web browser only — no installation required. Each participant connects from their PC, Mac, tablet or mobile. The session works everywhere.

Wherever people decide together

From high school students to co-drafting legislation — if it's collective, it's negotiable.

Key features

Real-time Socket

All actions (proposal, vote, counter-proposal) are broadcast instantly to all connected participants via Socket.IO.

Guaranteed FIFO order

Clauses are processed in the strict order of submission. No clause can jump ahead of another — total fairness between participants.

Counter-proposals

Only one counter-proposal at a time. The original clause is suspended until a verdict. If rejected, it is automatically reactivated.

1–5 star rating

Beyond simple accept/reject, participants rate clauses from 1 to 5. The approval rate is calculated in real time and displayed to all.

Signatures and stamps

After closure, each participant signs (name, title, location, stamp) or refuses within the allotted time. Images are integrated into the PDF then deleted — native GDPR compliance.

Signature refusal

Each participant may refuse to sign. The refusal is counted as a response. The manager sees in real time: signed, refused, pending.

Probative audit log

Every session event is timestamped and identified: proposals, votes, counter-proposals, signatures, refusals. The audit annex is integrated into the final PDF — documentary probative value.

Configurable signature deadline

The manager chooses the deadline after closure: 24 hours, 48 hours, 7 days or 15 days. A countdown displays for each participant. After the deadline, non-respondents are counted.

PDF automatically distributed

The final document is generated once and copied to each participant's file space. No need to send by email — each person retrieves their own copy.

Facilitator manager

The manager facilitates but does not vote — separation of powers guaranteed server-side. They reorder clauses and validate the final PDF once all responses are received.

Latecomer blocking

Once the session has started, no new participant can join. Quorum integrity is preserved from start to finish.

Sovereign data and GDPR

Your negotiations stay on your Digital Synapse Exchange server. Signature stamps are never stored in the database — temporary file only, purged after generation.

Secure and sovereign negotiation

The confidentiality of your negotiations is not optional. Digital Synapse Exchange is designed so that your data never leaves your control.

Restricted group access

Only authenticated group members can participate. Server-side verification on every request — no access via direct URL. Latecomers blocked after session start.

Probative audit log

Every proposal, vote, counter-proposal, signature and refusal is timestamped with author identification. The complete annex is integrated into the PDF — constituting an autonomous documentary piece in case of dispute.

Stamps never stored in database

Signature images pass through a temporary folder, are integrated into the PDF, then deleted immediately. No trace in the database.

FEFCS file scan

Any attached document is analyzed by the FEFCS engine before processing — purely structural detection, zero false positives.

Your next multi-user decision deserves better than a message thread.
